A payslip is the per-person, per-period statement of earnings and deductions. Flow Payroll generates a payslip for every employee on each pay run and makes it available as a formatted document you can view, download, and email.

Preview vs final payslips

Payslips exist in two states:

You can view a preview payslip at any time during step 1 (Payments) by selecting an employee. The payslip modal shows a Preview badge when the period is open and a Final badge once it is locked. The dedicated Payslips step (step 4 of the wizard) becomes the main place to work with payslips after locking.

What a payslip shows

Each payslip contains: Employee and employer details
  • Employee name and address
  • Tax code, NI number, NI category
  • Employer name and address
Earnings for the period
  • Each pay element with its description, quantity, rate, and total amount
  • Statutory pay components (SSP, SMP, SPP, and so on) listed as separate lines where applicable
Deductions for the period
  • Income tax (PAYE)
  • Employee National Insurance
  • Employee pension contribution
  • Student loan repayment (if applicable)
  • Postgraduate loan repayment (if applicable)
  • Any other deductions added during the pay run
Net pay — the take-home amount after all deductions Year-to-date totals — cumulative gross pay, tax, NI, pension, and net pay since the start of the tax year for this employment

Viewing and downloading payslips

Open the pay run from Pay runs, then navigate to step 4 — Payslips. The payslips table lists every employee with their gross and net pay for the period. Use the search bar to find an employee by name, payroll ID, NI number, or employee code. View a single payslip Select the eye icon next to an employee. The payslip opens in a modal preview. Before locking, the badge reads Preview; after locking it reads Final. Download a single payslip Select the download icon next to an employee. A PDF is saved to your device. Download multiple payslips Select the checkboxes next to the employees you want, then choose Download selected. Flow Payroll bundles the PDFs into a single zip file named with the period and tax year.

Sending payslips to employees

Once the period is locked, you can email payslip notifications to employees.

Select employees

Tick the checkboxes next to the employees you want to notify, or use Select all to select everyone shown. You can filter the list by name first to narrow it down.

Send notifications

Select Email payslips. Flow Payroll queues the notifications and each selected employee receives a message with a link to their payslip.
You can send payslip notifications at any time after locking — not just immediately after the pay run. If an employee did not receive their notification, select them individually and resend.

Payslips on an employee’s profile

Each employee’s profile has a Payslips section showing all their payslips across tax years. Select a tax year from the dropdown to filter the list. From there you can view or download individual payslips in the same way as from the pay run wizard.

What drives payslip values

Payslip amounts are calculated from the pay lines you enter or import in step 1 of the wizard, combined with:
  • Statutory pay — SSP, SMP, SPP, and other statutory amounts set up on the employee. See statutory payments.
  • Pension contributions — employee and employer contributions based on the worker’s enrolled status and your pension configuration. See auto-enrolment.
  • Court-order deductions — amounts withheld per the order rules. See court orders.
  • Tax and NI — calculated automatically from the employee’s tax code, NI category, and gross pay.
If a payslip value looks wrong, return to step 1 of the wizard to review the pay lines. You can only make changes before the period is locked.
